We carefully consider our fees compared to those charged by similar practices, our initiatives to ensure the ongoing delivery of best practice intervention, and the value that Gameplan provides our therapy clients and their families.

Gameplan’s services will remain competitively priced, with service fees from 1 Jul 2025 – 31 Dec 2025:

Term Program session days/times have limited availability.  Term Program clients must confirm their therapy client term program, and payment terms, prior to the commencement of each school term via the purchase of a relevant Gameplan subscription(s).  Gameplan reserves the right to re-allocate the applicable session day/time to another therapy client if this condition is not met.

An Individual Term Program session cancelled with more than 24 hours’ notice can be re-scheduled as a make-up session, only 1 per term.  A ‘cancelled’ make-up session will be as scheduled with a Gameplan Practitioner, during the term, only if available as determined by the Gameplan Practitioner.  If unused, a ‘cancelled’ make-up session does not roll-over to the following term and credit will not be given.  ‘Cancelled’ make-up sessions are only available during the term and cannot be held in the school holiday period.

Individual Program therapy clients who fail to attend a scheduled session are not entitled to a credit adjustment.

Group Program therapy clients who fail to attend a scheduled session are not entitled to a credit adjustment.

If a Program therapy client is sick or injured for 3, or more, consecutive weeks then a 50% credit adjustment for the sessions missed will apply.  Gameplan will retain the remaining 50% of the fee to hold the applicable session day/time until the therapy client is able to return to regular sessions. 

If a Program therapy client is planning a holiday for 3, or more, consecutive weeks, and Gameplan is notified in writing before the beginning of the applicable school term, then a 50% credit adjustment for the sessions missed will apply.  Gameplan will retain the remaining 50% of the fee to hold the applicable session day/time until the therapy client is able to return to regular sessions.

If a Gameplan Practitioner is sick, injured, away on holidays, or unavailable, then Gameplan will arrange an alternate practitioner.  If an alternate practitioner is unavailable, then a make-up session can be scheduled with the Gameplan Practitioner either during the term or within the school holiday period, or a 100% credit adjustment for the session(s) missed can apply.  No refunds will be available.  Refer to Gameplan’s ‘Sickness Policy’ for other relevant terms and conditions.

Home-Based Therapy Sessions – Supervision Requirement

To uphold Gameplan’s commitment to providing a safe and professional work environment for therapy clients and Gameplan Practitioners, the following condition applies to all therapy support sessions delivered at a client’s home: 

  1. Session Location and Responsibility: Gameplan therapy support sessions may be delivered at the client’s home, subject to agreement between the client and the assigned Gameplan Practitioner. Gameplan does not have control over the home environment and cannot assume responsibility for its safety.

  2. Parent/Carer Presence: A parent/carer must remain present at the home for the full duration of each session. This supervision ensures appropriate oversight and safeguards the wellbeing of both the therapy client and the practitioner.

  3. Exceptional Circumstances: In exceptional circumstances where a parent/carer is unable to remain present, prior explicit agreement must be obtained from the Gameplan Practitioner before the session commences. This agreement must be documented and may include additional conditions or limitations as determined by the Practitioner or Gameplan Management.

  4. Non-Compliance: Gameplan reserves the right to suspend, reschedule, or cancel any home-based session if this supervision requirement is not met.

Gameplan-Based Therapy Sessions – Supervision Requirement

To ensure the safety and wellbeing of all therapy clients attending Gameplan, we require that parents/carers adhere to the following responsibilities, as applicable: 

  1. Timely Drop-Off and Pick-Up: Parents/carers must ensure that children are dropped off and picked up on time for their scheduled therapy support sessions. Please arrive at least 5 minutes before the session start time and be ready to collect your child promptly at the end of the session.

  2. Supervision in Client Waiting Area: Gameplan is not responsible for supervising children outside of their scheduled session times. Children, particularly younger clients, must not be left unattended in the waiting area. If a parent/carer is not present, the child must remain under the supervision of a responsible adult.

  3. Late Pick-Up: In the event of a late pick-up, Gameplan reserves the right to charge a late collection fee to cover any supervision time. Repeated late pick-ups may result in a review of the client’s ongoing participation in the program.

  4. Emergency Contact: Parents/carers must ensure that Gameplan has up-to-date emergency contact details and must be reachable during the child’s session in case of any urgent issues.

By attending sessions at Gameplan or in a home-based setting, parents/carers acknowledge and agree to these responsibilities to help us maintain a safe and supportive environment for all.

Individual and Group Program session days/times have limited availability.  Based on independent medical advice, and as agreed with Gameplan’s Director, a Term Program can be cancelled.  A 3-week notice period applies.

A deposit payment is required for Gameplan’s Assessment and Intensive Program services and some Holiday Programs.  A cancellation more than one week before the first scheduled session will receive a 100% credit note to the value of the deposit payment. A cancellation less than one week before the first scheduled session will receive a 50% credit note to the value of the deposit payment.  For a NDIS participant who is self-managed or plan-managed, a deposit payment is still required.  If applicable, a deposit payment will be refunded on the payment of the NDIS participant invoice.

Gameplan is proactive in establishing, implementing and maintaining privacy processes in our practice, to ensure Gameplan complies with the Australian Privacy Principles (APPs).  Gameplan’s Privacy Policy is available for download, or via request.  The policy details the types of confidential information handled by Gameplan; how this information is received by Gameplan; where personal information is held / accessed by Gameplan; and Gameplan’s requirements and commitments.

To enhance the quality, accessibility, and effectiveness of our therapy support services, Gameplan may incorporate the use of technology, including digital tools, session recordings, and artificial intelligence (AI)-powered systems:

  1. Technology Integration: Gameplan may use secure digital platforms, apps, and software to deliver therapy activities, track progress, and communicate with parents/carers and/or therapy clients (as applicable).

  2. Session/Meeting Recording: Therapy support sessions and/or meetings may be audio or video recorded for the purposes of supervision, training, quality assurance, or to support clinical decision-making. All recordings are stored securely and accessed only by authorised personnel.

  3. AI-Enhanced Support: Gameplan may use AI tools to assist in tailoring therapy activities, generating resources, or analysing client progress. These tools are used under the supervision of qualified professionals and do not replace clinical judgment.

  4. Data Privacy and Security: All data collected through technological means, including recordings and AI-generated insights, are handled in accordance with our Privacy Policy and relevant data protection laws. We are committed to maintaining the confidentiality, integrity, and security of client information.

Term Program clients must confirm their term program subscription prior to the commencement of each school term via the purchase of a relevant Gameplan subscription(s).  For example, a typical ‘Term Program: Therapy (Speech Language Pathologist)’ subscription fee = $2,480.00 (GST free).  This is based on a 10-week school term.  All term subscriptions will consider the number of days per term as detailed.  Travel pack subscription fees (10min part(s) thereof) and NDIS administration service delivery fee will apply if applicable.

Weekly, monthly, or term-based (5% payment discount offered up until the end of week 3 of school term) pre-payment options will be offered for each Term Program subscription.

Any additional charges throughout the term – such as general support services, assessments, additional therapy session(s) held in addition to the relevant term program subscription, meetings, or travel – will be invoiced to the Term Program Client.  If a scheduled term program session is used for another support activity with a different service fee, such as an assessment or general support, then the difference in fee will be invoiced to the Term Program Client.

All card payments via Gameplan’s Xero-issued invoices, whether made by a Term Program client and/or Gameplan, will incur a payment card merchant fee.  Card payments and direct debits via Gameplan’s term program subscription platform will not incur a merchant fee.

Any additional charges that remain outstanding for more than 21 days will be charged to the Term Program client payment card, as provided to Gameplan, either via Gameplan’s Consent Form, term program subscription platform, or other means.  This may include any costs associated with recovery of debt.

If a Term Program Client has not purchased the relevant term program subscription by the end of week 3 of school term, then:

  • Gameplan will automatically process all outstanding term program subscriptions, with payment frequency details as per the previous term (if payment fails as per the previous term frequency, Gameplan will amend the payment frequency as required); or

  • Gameplan reserves the right to re-allocate the applicable session day/time to another therapy client.

To comply with the requirements of the National Disability Insurance Scheme (NDIS), Gameplan establishes a Support Agreement framework with each client prior to the commencement of services. This framework outlines the nature of the supports provided, the responsibilities of both parties, and the terms and conditions under which services are delivered.

Gameplan’s Support Agreement framework is comprised of the following components:

  1. Terms and Conditions: This document outlines the general policies, procedures, and expectations for service delivery at Gameplan.

  2. Client Consent Form: All clients (or their authorised representatives) are required to complete and sign a Consent Form prior to commencing services.

  3. Direct Communication with Gameplan: Any written or verbal communication between the client and relevant Gameplan Practitioner and/or Representative that relates to service delivery; nature and purpose of the supports provided; goals; scheduling; individual needs; and/or communication and collaboration with other professionals or agencies, where relevant; forms part of the Support Agreement framework.

Gameplan is eligible to provide supports and services to NDIS registered participants who are self-managed and plan-managed. 

  1. NDIS Price Limits: The NDIA sets maximum price limits for specific supports under the NDIS. These limits are subject to change and may vary depending on the type of service and location.  For the period from 1 July 2025 – 30 June 2026, all Gameplan service fees are within the price limits, except Gameplan Practitioner travel.

  2. Self-Managed Participants: Clients who self-manage their NDIS plans may choose to engage services that exceed NDIA price limits e.g. Gameplan Practitioner travel. In these cases:

    1. Gameplan will charge fees above the NDIA price limit.

    2. The difference between Gameplan’s fee and the NDIA price limit is considered an out-of-pocket expense.

    3. The client (or their authorised representative) is responsible for paying out-of-pocket expenses directly to Gameplan.

    4. All fees, including any out-of-pocket expenses, will be clearly communicated and agreed upon prior to service delivery.

  3. Plan-Managed Participants: Clients whose NDIS plans are managed by a plan manager must adhere to NDIA price limits. In these cases:

    1. Gameplan will not charge fees above the NDIA price limit.

    2. Out-of-pocket expenses are not applicable.

    3. A Gameplan Practitioner is not available for travel, and therapy support sessions must be delivered at Gameplan, or online.

All invoicing will be submitted to the plan manager in accordance with NDIA guidelines.

Private Health Insurance rebates are available for services provided by our Speech Language Pathologists.  Consult your health fund to obtain details on the rebate amount for speech pathology consultations and the maximum amount you can claim per person or family in a calendar year.

Medicare funding is available for eligible therapy clients via the Medicare Items for Chronic Disease Management (CDM) (formerly Enhanced Primary Care (EPC)).

Upon request, Gameplan will provide clients with detailed invoices and receipts to satisfy any rebate fulfilment requirements.  Gameplan’s Term Program subscription fee invoice layout will not satisfy the rebate fulfilment requirements.
